Position Overview:
As our Office Manager/Assistant, you’ll play a key role in helping our operations run smoothly. This is a flexible, remote-friendly position, with hours varying seasonally:
March–December: 25–35 hours per week
January–February: 10–25 hours per week
The position offers a competitive pay rate starting at $18.00 per hour, based on experience and qualifications. In addition to the hourly wage, management employees are provided with 40 hours of paid time off (PTO) annually, allowing for a healthy work-life balance. PTO can be used for vacation, personal time, or illness, and is accrued over the course of the year. This comprehensive compensation package is designed to support both financial stability and overall well-being for all employees.
Key Responsibilities:
Customer Service: Answer phone calls, emails, and respond to client inquiries in a timely and professional manner. Provide estimates and schedule appointments.
Scheduling & Coordination: Manage daily schedules for crew members, ensuring all jobs are properly assigned and all client appointments are kept.
Invoicing & Billing: Prepare and send invoices to clients, track payments, and assist with financial record-keeping.
Data Entry & File Management: Maintain and organize client files, contracts, and project details. Update and track progress on landscaping projects.
Communication with Team: Relay information to and from the field crew to ensure all tasks are completed efficiently and on time.
Inventory Management: Track inventory of landscaping materials and supplies and assist with ordering.
Administrative Support: General office duties such as filing, handling correspondence, and assisting with marketing and social media.
Qualifications:
Strong communication skills (both written and verbal)
Proficiency with Microsoft Office and Google Workspace (Docs, Sheets, etc.), other softwares will be needed but we will provide training.
Experience with QuickBooks or similar invoicing software is a plus
Ability to work independently and manage time effectively
Previous experience in office administration or customer service is a plus
Landscaping or service industry experience is a plus but not required
A reliable internet connection and a quiet work environment for remote work
